Guide to System and Processes for IMS

This guide will attempt to clarify some processes and systems which impact IMS.  In the event that these processes and systems of IMS don’t function as intended, actions for the data entry personnel and CPC are included in the “What to do if…….” action section of this document.

 

Terminology

Nightly Procedure:  Each night, during this procedure, the data are disaggregated by AEA.  In addition, AEAs download their data from the IMS server to a local server.

 

Cold Fusion on Server:  Cold Fusion is a tool used to develop data driven applications for use on the Internet. The IMS databases are accessed through Cold Fusion.  At times, Cold Fusion freezes due to a memory leak, not because the server crashed. 

 

Transaction Timed Out Due to Server Overload:  The number of hits on the server at a given time may cause a transaction to take more than 30 seconds to process.

 

Transaction Timed Out Due to Internet:  The Internet connection may be lost for various duration of time.

 

 

What to do if……….

  • Nightly procedure didn’t run.
  • FTP wasn't successful.
  • The FoxPro reports are not pulling data entered the previous business day.
  • Check e-mail for notification of unsuccessful nightly procedure.
  • Send out an e-mail notifying clients of unsuccessful nightly procedures.
  • Continue to monitor and adjust nightly procedures, as needed.
  • Client is “locked out” of the system.
  •  IMS application doesn’t respond to any keys.
  • If a client is “locked out” of the system, contact the staff at the CPC.
  • In response to clients’ calls, restart Cold Fusion to unlock the program or reboot the server, as needed.
  • Reboot server, twice weekly.
  • Continue to research the source of this problem.
  • The system is slow.
  • Data which were entered were not saved.
  • If pop-up message “The request has exceeded the allowable time limit” appears, then try transaction again.
  • If the system spins and spins after second attempt, try accessing:
    • The Department of Education website at http://www.state.ia.us/educate or the ISU website at http://www.iastate.edu/
    • If these sites don’t load, contact your local technology department to see if the Internet is working.
    • If one of the above sites will load, try accessing: Area 10’s website at http://www.aea10.k12.ia.us
    • Once again, if this site doesn’t load, contact your technology department to see if the Internet is working.
  • If all of the above pages load and the Internet is working, contact the staff at the CPC.
  • In response to clients’ calls, restart Cold Fusion to unlock the program or reboot the server, as needed.
  • Continue to research the source for this problem.
