Update on District Wide Assessment

For IMS Data Entry Personnel

Since the February 3 data entry personnel meeting, the Bureau and CPC staff have been talking about questions raised at the meeting about the codes for District Wide Assessment.  As a result, there are three items that need to be brought to your attention.

1.  February 3 Meeting Notes. The meeting notes from February 3 have been slightly revised and the new version is now posted.  To go to the meeting notes, go to the IMS section and then the Meeting Notes subsection.

As an FYI, the change in the meeting notes is as follows:

February 13, 2009 Post-Meeting Answer: After further consultation between the Bureau and CPC staff, district wide assessment should be handled in the following way:
In the District-Wide Assessment field on the Plan screen, enter one (1) and only one of the following:

  • If only Alternate Assessment is indicated on an IEP, use A.
  • If only Accommodation is indicated on an IEP, use M.
  • If neither Alternate Assessment nor Accommodations is indicated on an IEP, use N.
  • If both Alternate Assessment and Accommodations are indicated on an IEP, use A.
  • If both Alternate Assessment and Without Accommodations are indicated on an IEP, use A.
  • If both With Accommodations and Without Accommodations are indicated on an IEP, use M.
  • If a district wide assessment is not given at this grade level and is indicated on an IEP, use G
  • If the student is incarcerated in an adult correctional facility and is indicated as such on an IEP, use I.

The district wide assessment code is identified as of the meeting date of the IEP. However, if a data entry person believes an incorrect code appears on the IEP, please follow your AEA’s procedures in regard to researching and checking the accuracy of the data.

2.  Uniform Data Entry Procedures: Plan.  The document Uniform Data Entry Procedures: Plan has been revised.  Go to the section IMS and then to the subsection Resources.  Please note that the web IEP addresses the logic of which code to use so data entry personnel are advised to be aware of the logic, in the event that there are questions about which codes are printed on the data summary sheet.

3.  Revision of the District Wide Assessment Table.  A request has been submitted for the description of “G” to be change from “DWA is not given at this grade level” to “Child not yet school age; DWA not given.”  It is possible that by the time you read this message this change will have already occurred.
